The Missing Portrait Report is a diagnostic tool that compares your name list against the names in your portrait library and identifies which students and staff members don’t have a portrait on file. This report helps you track down missing photos and ensure complete coverage for your yearbook.
How to Generate the Report
- Go to the Library module
- Select the Portraits library
- Go to Import/Export menu
- Choose Missing Portraits
- The report opens comparing your name list to portrait names
Report Options
The Missing Portrait Report offers an option to include grade in the comparison. Compare names only to match first and last names without considering grade. Include grade in comparison to match all three fields for more precise results.
💡 TIP: If you’re uncertain about grade format consistency, start with names only. You can always run the report again with grade matching if needed.
Interpreting Your Results
The report shows names from your master list that don’t have matching portraits. Some people may actually have portraits with different name formatting. You can reconcile names in portrait data to match your list, or obtain missing portraits for those shown.
⚠️ NOTE: The Missing Portrait Report is a starting point for quality assurance. Some names may appear missing because of naming variations rather than actual missing photos. Review results carefully.
