Running the Missing Portrait Report

Generate a report that identifies students in your name list who don’t have matching portrait records in the library. Use this tool to reconcile missing portraits before flowing.

When to Run the Report

Run the missing portrait report after uploading your portrait files but before creating portrait flows. This helps you identify discrepancies between your official name list and available portrait records.

Generating the Report

  1. Open the Portraits section in the eDesign library
  2. Click Import/Export menu
  3. Select Missing Portraits
  4. Choose whether to include Grade in the comparison
  5. Review the results for missing names

Using Grade Information

The report can optionally consider grade when matching names. If your name list and portrait data use the same grade format, enable grade matching for more precise results. If grades are formatted differently (such as 09 vs 9), disable grade matching to avoid false negatives.

💡 TIP: Run the report with and without grade matching if you are unsure about your grade format consistency. This gives you the most complete picture of potential matches.

Interpreting Results

The report shows names that don’t have exact matches in the portrait library. Some names may have portraits with slightly different spelling or formatting, so the report may include entries that you do have images for. Use your results to obtain missing portraits or reconcile name differences.
