Filtering the Ladder is a powerful tool for managing your yearbook production. This pro-tip guide covers advanced filtering strategies to help advisers and editors monitor staff progress, meet deadlines, and stay organized throughout the production cycle.

Strategy 1: Monitor Individual Student Progress

Want to see a specific student’s progress on their assigned pages? Combine three filters:

  1. Filter by Staff Assignment and check the student’s name
  2. Filter by Deadline to show their pages for a specific deadline
  3. Filter by Page Status to see where pages stand (in progress, edited, proof, etc.)

This instantly shows you which pages a student needs to work on and where they are in the review process. Use this to identify students who are behind on deadlines and need support or reminders.

Strategy 2: Create a Deadline Checklist

To see all pages due by a specific deadline and track their status:

  1. Filter by a single Deadline
  2. Add a Page Status filter to show only “Proof” or “Preflight” pages (those needing adviser review)
  3. This shows you exactly which pages for that deadline still need final approval.

Work through this filtered list systematically to proof all pages before final submission to print.

Strategy 3: Find All Pages in a Specific Stage

To see all pages across the entire book in a particular status (for example, all pages waiting for proof review):

  1. Filter by Page Status and select “Proof”
  2. Do NOT add other filters.
  3. The Ladder shows every page in Proof status, regardless of deadline or staff.

This helps you allocate editorial review time and manage the flow of work through your production pipeline.

Strategy 4: Filter Pages for Adviser Review

To focus on pages that require adviser attention (preflight, pre-submit, ready to submit):

  1. Filter by Page Status and check “Preflight,” “Pre-Submit,” and “In Review”
  2. This eliminates pages still in earlier stages and shows only pages waiting for your action.

Best Practices for Efficient Filtering

Keep these tips in mind as you use filters:

  • Check filters frequently: Run the same filter combinations weekly to track progress.
  • Clear filters when done: Always clear filters when you’re finished with a specific task so you don’t accidentally work from a filtered view.
  • Use filters for communication: When talking to a student about their pages, use a staff+deadline filter to show them exactly what you’re discussing.

💡 TIP: Create a weekly checklist of filter combinations to run (one for each staff member, one for each deadline). This systematic approach ensures nothing falls through the cracks and everyone stays accountable.

⚠️ NOTE: Remember that filters only affect YOUR view of the Ladder. They do not restrict what other users can see. Staff members will still see all pages, even if you’re filtering to a subset.
